Requesting Bound Newspapers from Remote Storage
Beginning November, 2010, the Serial Division will begin transferring the U.S. newspaper volumes to an alternate remote storage facility. As the transfer proceeds there will be sections of the newspaper collection that will be unavailable for public use for weeks at a time. When the transfer is complete those sections of the collection will once again be available for use.
We anticipate the transfer will take at least one year to complete. We appreciate your understanding during this facility change. Please contact the reading room staff via Ask a Librarian before requesting bound newspapers. To better notify you regarding the status of a bound newspaper delivery, always provide a phone number where you can be reached so that we can confirm delivery.
You may request material from remote storage in person, by telephone, fax or by mail.
- To request material in person, complete a newspaper request form for each newspaper, and submit it at the Circulation
Desk. Wait until staff confirm that it is not on microfilm. Your name and address on each call slip must be the same as
on your photo-identification, or you may use the number from your reader registration card.
- Request by mail two weeks in advance of your visit to allow time for the material to be retrieved.

one full week in advance.

- Deliveries of remote storage materials are normally scheduled daily, Monday through Friday. No deliveries are made on
weekends or holidays. Deliveries are occasionally delayed, or requested material may not have been located. Phone
ahead to verify the requested materials have arrived before coming to the Reading Room.
- Materials will be held up to two weeks (14 days) from the date the material arrives from the storage facility. You may
ask for an extension if necessary.
To use materials in the Reading Room:
- Inform the staff at the Circulation Desk what you have requested from remote storage (e.g. newspaper title and place of
publication); give your name; indicate when you submitted the request.
- Find a vacant numbered slanted desk, and inform the staff member of the number of the desk you have selected for
- Show photo-identification which matches the name on the original request slips.
- You may have a maximum of six bound volumes at one time in the Reading Room. You may request additional volumes
when you are finished with the volumes delivered earlier, but only during the hours of stack service.
- Please place volumes no longer needed, on the book truck labeled "Return Bound Newspaper Volumes."
- You may reserve a maximum of six volumes for up to seven days:
- Insert a yellow "reserve slip" with your name and the day's date in each volume you wish to reserve and place that
volume on the book truck labeled "Reserve Bound Newspaper Volumes."
- Any volume left in the reading room with no "reserve slip" in it will be returned to remote storage.
To protect these valuable original materials:
- Do not take notes with the materials themselves as backing.
- Do not make self-service photocopies from newspaper volumes or portfolio issues.
